CONDITIONS OF ENTRY – VEHICLE OWNERS PLEASE READ AND ADHERE TO:
1.There are no fees for exhibiting your vehicle/s at this show but a donation would be valued.

2.Exhibitors are expected to comply with all reasonable instructions provided by the event organisers/marshals and volunteers and to conduct themselves in a manner that will not inconvenience other road users or other persons at any time.
3.Entries must be presented in a clean, complete and safe working condition. The vehicle must have a current MOT certificate (unless exempt) and be insured against third party risks for road use. The event organisers will not be held responsible for any loss damage or accident however caused. It is therefore recommended that you hold a relevant insurance policy including public liability. All entrants hereby indemnify the event organiser against all claims, liability and damage as a result of their entry directly or indirectly. The event producer has its own separate public liability policy for the event, which is independent of the entrant’s cover.
4.PSV owners wishing to transport the public on public roads during the event must have the relevant MOT and insurance in place for the event. You also confirm that you will be carrying the appropriate and working and tested fire extinguishers.
5.Steam Wagons and engines must have proof of boiler insurance and annual inspection.
6.No exhibit shall be left running unattended. All unattended vehicles shall be left securely braked and/or chocked. A speed limit of 5mph shall apply to all vehicles-including modern tender vehicles-in all rally areas off the highway.
7.No vehicle may move once parked up without the permission and assistance of the event organiser/marshal. The organiser will not be liable for any accidents.
8.Due to availability of space, vehicles built less than 40 years ago will require special permission to enter the rally.
9.Owners must ensure that all drivers are fully qualified and licensed for the class of vehicle entered.
10.Late and substitute entries are permitted, but please let us know as soon as possible.
11. There is limited camping available and this must be booked in advance. There will be a charge of £5/unit per day payable on arrival or

1. Terms of trading have been in place for years and have not changed this year.
2. Stallholders are required to trade on both days of the event.
3. Commercial stalls £40/day - Charity Stalls £20/day “Food & Drink consumed on site” £50/day All for 3*3m pitch.
4. Once your entry has been confirmed your fee must be received within 14 days. Regrettably, no rebates or compensation will be given to stallholders as a result of adverse weather conditions or any reason for cancellation.
5. The event organisers cannot accept responsibility for the level of trading during the weekend nor for any economic loss.
6. The stall holders must comply with local statutory regulations.
7. The Council agreement does not include live music or the sale of alcohol. Any stallholder wishing to do either activity MUST have written permission from the event organisers and will be required to pay any additional Council charges.
8. Trading hours are 10.00-17.00 and stall holders are requested to be ready to start trading on time and required to trade throughout unless agreed in advance with the event organiser/marshal.
9. Any stall left overnight are left at their own risk. NO security is provided. Stalls on Market Square must be dismantled at day’s end and re-erected the following day.
10. No loading/storage vehicles are permitted on Kirkby Stephen Market Square.Any vehicle parked in the area is parked at their owner’s own cost and risk.
11. Stallholders must ensure that their stalls and merchandise are kept within the agreed trading area and are secure so they do not cause a hazard in any way to members of the public. Stall merchandise must be agreed with the organisers in advance and not be offensive or dangerous. Prices clearly marked.
12. Stallholders are required to have public & employer liability insurance against personal injury, death & damage to or loss of property for a limit of indemnity not less than £1 million as required by Eden District Council. The event organisers are not responsible for failure of insurance.
13. The event organisers take no responsibility for, or liability for, damage, theft of stallholders property whilst at or in transit to or from the event site. Please note that the event location is a busy public area and the event organisers cannot be held responsible for individual stall security. It is recommended that adequate insurance cover is taken out for goods or merchandise. No secure storage space will be provided. All goods or property left unattended will be at stallholder’s own risk. Adequate insurance is strongly recommended.
14. Stallholders are required to co-operate fully with all event officials and will be given emergency and fire instructions prior to the event – these must be adhered to. Stallholders must bring working and certified fire extinguishers and at least one fire blanket.
15. Stallholders are responsible for keeping their stalls free from rubbish during trading and at the end of the day. Stallholders are required to remove from the site with them when they de-rig each day any substantial waste eg large boxes, packaging/bottles and any food waste incl. oil.
16. Stallholders hereby fully indemnify the organisers against all losses, and all actions, claims, proceedings, costs and damages and all legal costs or other expenses arising out of breach of these terms and conditions.
17. The event organisers reserve the right to capture audio, video and photographic media of the event, its stallholders and attendees and to use such media in promotions either for the event itself or for any similar event now or in the future.
18. Stallholders selling food and drink must adhere to the Council’s guidelines and terms in respect of food hygiene and safety (in particular respect of providing hand washing facilities) and those guidelines are incorporated in these terms and conditions.
19. There will be no power available for stalls unless otherwise agreed and you may not bring generators on site as this will require additional licensing and permissions unless otherwise agreed. All liquid must be served in plastic/biodegradable cups. The regulations underline that glass must not be allowed to be served to the public.
